How to Start Physical/Speech Therapy at a Private Clinic
Starting outpatient physical or speech therapy can feel overwhelming if you’ve never done it before. Many people assume they have to go wherever their doctor sends them, but that’s not always true. You have options, and you have a voice in your care. Below is a step-by-step guide to help you confidently start therapy at a private clinic you’re interested in.
1. Research Private Clinics in Your Area
The first step is to explore different private clinics near you. Look at their specialties, what insurances they take, reviews, locations, and whether they offer the specific therapy you need (physical therapy, speech therapy, etc.). Remember: you don’t have to automatically go where your doctor refers you. If there’s a clinic that feels like a better fit, you can request to go there.
2. Contact the Clinic Beforehand
Once you’ve found a clinic you’re interested in, give them a call or message. Ask:
- If they are accepting new patients
- If they take your insurance
- If they can accept a referral from your doctor
This is helpful for several reasons. The clinic will recognize your name when your referral arrives, and they may even be able to start your profile in their system early. That can reduce how much paperwork you need to complete later and gives their staff a chance to put your therapy journey as a priority, making sure to help you start the process in a stress-free way.
While you’re on the phone, ask for their fax number. You’ll want to give this directly to your doctor’s office to avoid delays in sending the referral.
3. Schedule a Visit With Your Referring Provider (If Needed)
Some doctors require a recent appointment before they can send a referral. This is completely normal. It allows them to confirm updated diagnoses and ensure the referral includes accurate and current information for your therapist.
4. Have the Referral Sent to the Clinic’s Fax Number

If you do not have the private clinic's fax number, that is okay. Your Dr. office can call the private clinic to retrieve this information.
5. Scheduling, Paperwork, and Your First Appointment
Once the clinic receives your referral, they will contact you to schedule your initial appointment. They’ll also send you preliminary paperwork, usually through an online patient portal.
If you don’t have access to the internet or a computer, you can most likely complete the paperwork in person. In that case, plan to arrive about 15 minutes early to your appointment.
What to Expect at the Initial Evaluation
Your first visit will be an initial evaluation, which typically lasts about an hour (this can vary depending on the type of therapy). During this session, your therapist will assess your needs, discuss goals, and begin creating a personalized treatment plan.
After the evaluation, you’ll meet with the scheduler. Your therapist will explain how often they recommend therapy (frequency). Usually, how many sessions per week and for how long.
Ongoing Communication With Your Doctor
Your clinic will send your evaluation, plan of care, and progress notes to your referring provider throughout your therapy journey. This keeps everyone on the same page and ensures your doctor is aware of how you’re progressing throughout therapy.
